Summer Systems Update

Dear Valued Client,

We wanted to let you know about some changes we are beginning to make at Perfectly Balanced.

Why We Are Making Changes

QuickBooks has changed quite a bit in the way accountants are able to use the system. These changes are not a surprise to us, and this is not a decision we made quickly.

We have spent about two years researching what the best next step would be for our clients. We have looked at different options, talked through the details, and taken time to make sure this is the right move before making the change. We are now starting that transition.

What is Changing

The main pieces changing are payroll, bookkeeping, our client communication system, and billing.

Our goal is to keep things secure, organized, and as easy as possible for you while continuing to give you the service and support you expect from us.

Payroll

Payroll is moving to a new platform called Sure Payroll.

For most clients, nothing major will need to change on your end. Employees may have the option to use their own portal to view pay stubs and W-2s, but that will not be required.

One thing that will be different is how payroll taxes are paid. Instead of a separate payroll tax payment coming out later in the month, wages and payroll taxes will be handled when payroll is processed. This means you will no longer have that extra payroll tax payment coming out on the 15th.

Bookkeeping

For most bookkeeping clients, we are also moving away from QuickBooks and using Xero.

For most clients, nothing major will need to change on your end; you can continue everything the same. However, you can choose to have access to view your books anytime you'd like, but this will not be required.

One thing that will be different is the look of financial statements, but we can walk you through any questions or tweak to your liking.

Secure Client Portal

We are also adding a secure client portal.

This will give us a safer way to send reminders, collect documents, share completed items, communicate, and handle billing.

Billing

Our goal is to move toward monthly ACH payments when possible so billing is more consistent and easier to plan for.

With these system and billing updates, we will communicate individually with each client because services and needs are different.
